This can be broken down into 2 categories, Operation Reconciliation and Financial Reconciliation
Operational Reconciliation - Ensuring that the physical stock received matches the documentation that has been provided within the box/es of returns. To complete this check you will need the following:
- RTS Statement - Found in the box of returns
- Physical items sent back
When you receive your returns back it is best practice to complete a second Quality Control check. This is to ensure you have received back exactly what was returned by the customer and shown on your packing slip.
It is recommended to cross-reference the following:
- The physical product including the ‘swing tag’ or ‘poly bags’, against the items on your packing slip
- Order Number
- UID (Unique ID number)
- SKU
- Colour
- Size
- Return Reason
- Damages to the item e.g. manufacturing faults or customer faults.
In instances where the customer has initiated the return as Not What I Ordered (NWIO), you may receive back items that do not match. NWIO refers to items that the customer has received which do not align to the original order placed, including incorrect size, colour and product.
Financial Reconciliation - Ensuring that the items received have been debited back to your Account Statement. To complete this check you will need the following:
- RTS Document - Found in Seller Center Files
- RTS Statement (CSV) - Found in email notification when returns were sent back
Within the RTS Document, the first column outlines all RTS Statements that are assigned to the time period. The total number of rows between the documents should align.
